INTRODUCTION

"Joint Venture Manager" is a custom built, stand-alone software package that can be used to store, send and retrieve the Joint Venture Proposals that you strike online. It has got other useful options like Status-form for tracking and changing the proposal status and a detailed report.

NEW PROPOSAL

This function is used for sending or receiving new proposals or deals that you strike with your JV Partner online.

The main sections in this function are as follows:  

·         Proposal Details   -   Used to enter the Proposal Name, Product Name, Domains, JV Type etc.

·         Partner Profile  -    Used to enter the details of the Joint Venture Partner like Name, Company, Phone and Email details and so on.

·         Proposal Text   -   This is the actual proposal text that is sent (as well as stored) as an email to the JV Partner's email address which is provided in the Partner Profile.

Proposal Type (Send/Receive)

Option Button

This form is used for both Sending or Receiving the new Proposals. Select the Send/Receive option accordingly.

Proposal Name Textbox Enter the name of the Proposal which you are going to send or which you have received Product Name Textbox Use this to enter the product name for which the deal is struck From Domain Textbox Use this to enter your own domain. For example if you are sending the Proposal from https://www.tradebit.com, then you can enter the From Domain as "mydomain" To Domain Textbox Use this to enter your partner's domain. For example if you are sending the Proposal to https://www.tradebit.com, then you can enter the To Domain as "hisdomain" Proposal Sent Via Dropdown List The list contains few means of communication like Email, Phone, Fax, Mail (Post). Select the appropriate option. If your option doesn't figure in the list then you can select Others, in which case a textbox will be shown to enter the description of Others. "If Email is selected in the list, then an email will be sent after the Send button is clicked. SMTP details will checked and asked to enter (if not entered) before sending mail". Date Textbox This is the Proposal Date. This is read-only and is auto populated with the current system date. JV Type Dropdown List This list contains some of the mainly used Joint Venture types. If your JV Type doesn't figure in the list then you can select Others, in which case a textbox "Custom JV Type" will be shown to enter the description of Others.

Partner Profile

First Name Textbox Enter the First Name of your partner with whom you are making/receiving the proposal. This is the mandatory field. Last Name Textbox Enter the Last Name of the partner (optional) Email 1 Textbox Enter the primary email address of the partner. This is the mandatory field. Email 2 Textbox Enter the secondary email address of the partner (optional). Fax Textbox Enter the Fax no. (optional) Company Name Textbox Enter the Company Name of the partner (optional) Work Phone Textbox Enter partner's office phone no. (optional) Address1 Textbox Enter partner's office/residential address - 1st line (optional) Address2 Textbox Enter partner's office/residential address - 2nd line (optional) City Textbox Enter the City where he/she lives or works (optional) State Textbox Enter the State where he/she lives or works (optional) Country Textbox Enter the Country where he/she lives or works (optional) Home Phone Textbox Enter the residential phone no. of your partner (optional) Remarks Textbox This can be used to enter any remarks about your partner. (optional) Lookup Profile Button This button can be used to lookup the already saved partner profile. When clicked on this button, a pop-up window will be shown where you can enter the partner First/Last Name or even Company name for searching his profile. Proposal Text Text Area This is the place where you can enter the actual text message which you are wishing to send to your partner or which you received from your partner. This will be put as message body in the mail which will be sent if Email option is selected in the Proposal Sent Via dropdown list Submit Button When clicked on this button, the data entered will be saved for later usage and also email will be sent if Email option is selected in the Proposal Sent Via dropdown list. SMTP details will checked and asked to enter (if not entered) before sending mail. Exit Button When clicked on this button, the application will be closed.

Below are the button which are used in almost all the forms for easy maneuvering across various forms.

 

Buttons used across the application When clicked on this button, system will open This form is heart of this application where in you can see the status of any or all proposal, and also can be used to change the status of the proposal from one status to another status.

System allows the user to do the following tasks:            

  • Follow-up - To follow-up existing proposal

  • Receive Reply - To receive reply for existing proposal

  • Send Reply - To send reply for existing proposal

  • View History - To view history information of a proposal

Proposal Type

Radio Button

To indicate whether a new proposal is to be received from another domain or to be sent to another domain. By default system selects the type as Sent. User can also change the same to Received.

To Domain / From Domain

Combo box

By default system displays the label name as To Domain. The label will be changed to From Domain when user selects the type as Sent. System populates the entire existing Domain in the Combo box from where user can select any.

From Date (mm/dd/yyyy)

Text box

To filter proposals which are raised on or after the entered From Date. The date-entered date should be mm/dd/yyyy format.

To Date (mm/dd/yyyy)

Text box

To filter proposals which are raised on or before the entered From Date. The date-entered date should be mm/dd/yyyy format.

Show Details

Push Button

Once selected the above mentioned filter criteria, click on Show Details to populate the proposal details.

Proposal Grid

Grid

Displays all the proposals based on the above selected filter criteria. System allows the user to change the Status and enter remarks for the changed status. User can also select a proposal and commit the tasks like Follow-up, Receive Reply, Send Reply and also View History.

Allows the user to select a proposal for committing the tasks like Follow-up, Receive Reply, Send Reply and also View History. User can select only one proposal at a time for any action.

Displays the Proposal ID.

Proposal Name

Displays the Proposal Name.

Proposal Date (mm/dd/yyyy)

Displays the Proposal Date.

To Domain

Label

Displays the To Domain Name if Proposal Type is selected as Sent else displays the From Domain name.

Company Name

Displays the Company Name.

Displays the JV Type.

Status

Combo Box

Displays the current Status. User can also change the Status by clicking on the cell. A combo box will be displayed while clicking on the cell and populates all the status from where user can select any.

Remarks

Text Box

Displays the current remarks. User can also change the status by clicking on the cell. A Textbox will be displayed while clicking on the cell. User can enter the remarks here.

Proposal Text

Label

Displays the Proposal matter.

Follow-up

Push Button

Is used to follow-up existing proposal. User should select one proposal for this action. See Follow-up existing proposal option for more details.

Receive Reply

Push Button

Is used to receive reply for existing proposal. User should select one proposal for this action. See Receive Reply option for more details.

Send Reply

Push Button

Is used to send reply for existing proposal. User should select one proposal for this action. See Send Reply option for more details.

View History

Push Button

Is used to view the history information for a proposal. User should select one proposal for this action. See View History option for more details.

Save

Push Button

Is used to save the changed Status and remarks for the selected proposal.

Exit

Push Button

Closes the JVM package.

Follow the steps to work successfully with the Status Form

 

Step 1: Select the Proposal Type. 

Step 2: Select the Domain (Optional). 

Step 3: Enter From Date (Optional). The entered date format should be mm/dd/yyyy 

Step 4: Enter To Date (Optional). The entered date format should be mm/dd/yyyy 

Step 5: Click on Show Details, to populate proposal details in the grid. 

Step 6: Select the proposal for which the actions like Follow-up or Receive Reply or Send Reply tasks to be done. 

Step 7: Click on Follow-up, to follow-up the existing proposal. A window will be opened where you can enter the follow-up details. 

Step 8: Click on Receive Reply, to receive reply for the existing proposal. A window will be opened where you can enter the details. 

Step 9: Click on View History, to view the history information of a proposal (Explained below in detail).

Step 10: Click on View History, to view the history information of a proposal. 

Step 11: Click on Status and select change the status.

Step 12: Click on Save, to save the details.

VIEW HISTORY

View History option can be used to see the various transactions that are done on a single selected Proposal. When a particular proposal is selected and clicked on "View History" button, a window (shown below) pops up and displays all the transactions with the status flow along with the proposal text.

If, for any reason, email for a particular transaction is failed, no need to take the pain of typing the whole stuff again, just come to this View History window by selecting that proposal and in the View History window, select that particular transaction (just by clicking on that row) which has failed sending email, and click on the button "Send this Email Again". This sends the email again.

As you can see below in the screen shot of view history, the proposal text is made as a hyperlink. Upon click of this a new window will pop-up and shows the entire text in the paragraph format, just like how you entered it.

SETTINGS

Settings dialog provides an option to set the SMTP server details (for mailing purpose) like, SMTP server name, SMTP Username and Password, From Email ID and Display Name. The details of the fields and its usage is described below.

REPORT

The Report in JV Manager is a very useful tool to know almost all details about any or all proposals, be it sent or be it received. There are various filters that can be used to drilldown to a particular proposal, like Proposal Date, JV Type, Status, Domain.

Select 'Sent' if you want to display all the sent proposals or select 'Received' for all the proposals which you received from your partners

Proposal From Date Textbox Enter Proposal From date from which you want to generate the details. The date is in mm/dd/yyyy format. Proposal To Date Textbox  Enter Proposal To date till which you want to generate the details. The date is in mm/dd/yyyy format. JV Type Dropdown list Select this if you want to display the proposals specifically for a particular Joint Venture Type. You can select 'All' or select blank if you want all JV Types Status Dropdown list Select this if you want to display the proposals which has a particular status, like Denied or Successful or so on. You can select 'All' or select blank if you want all the statuses to be displayed Domain Textbox  Enter this for filtering for a particular domain. If entered the record will be selected either from From Domain or from To Domain for any given Proposal. Show Details Button After enter the required details, click on Show Details button to display the records in the grid below Export o Excel Button When clicked on this button, the displayed data will be exported to Microsoft Excel and a prompt will pop-up with file name and path for saving the file to the local harddisk.
